CONFIGURING EMAIL USER OPTIONS

These are options available to all of your email users -
ie: anyone with an @yourdomain.com email address.

All User Options are accessed from the Options and Styles pull-down menu, as displayed below:
 


Preferences
Preferences include:

  • Mail Sending Options (replying, saving outgoing mail, etc.)
  • Mail Display Options (sorting, email headers, etc.)
  • Mail Deletion Options (purging, 'recycle bin,' etc.)
  • Your Signature (appended to outgoing emails)

To configure your personal options, click on the 'Options and Styles' pull-down menu.
Then, click 'Preferences'.  A menu will open allowing you to make changes to the above mentioned preferences.


Signature
A signature is text that is appended to every outgoing email.  Such as:

Sally Anderson, MD
1-888-555-5555
sally@sallysdomain.com

To make or change your signature, click on the 'Options and Styles' pull-down menu.
Then click 'Signature'.  A menu will appear that allows you to edit your signature.


Folders
You can create folders to help manage and organize your email.  For example, it's common to create a folder called 'Saved' for important emails that you want to save, 'Old' possibly for old emails that you don't necessarily want to delete, 'Jokes' for humorous emails, etc.
To add, delete, or move folders, click on the 'Options and Styles' pull-down menu.
Then click 'Folders'.  A menu will appear that allows you to manage folders.


Filters
Filters allow you to manage incoming mail based on rules you specify.  For example, you can:

  • Have all unwanted incoming messages from certain senders (such as "advertisements@spammer.com") automatically deleted
  • Have all incoming messages with a subject of 'Urgent' move to a specific folder (such as maybe an 'Urgent Emails' folder you've created).
  • Have all incoming messages with certain keywords in the body move to another specific folder.

To set up these rules (filters), click on the 'Options and Styles' pull-down menu.
Then click 'Filters'.  A menu will appear that allows you to configure filters.


Contacts
A Contact is like a 'nickname,' people in your 'Address book.'  For example, if you send a lot of email to "john.ray.anderson@somelongemailaddress.com", it may be easier to create a Contact for him.  You can create a contact, so that whenever you type "John" in the "To:" field of an email, it will send it to "john.ray.anderson@somelongemailaddress.com".  Contacts are often used for family, friends, and business contacts.
To create, edit, and remove Contacts, click on the 'Options and Styles' pull-down menu.
Then click 'Contacts'.  A menu will appear that allows you to manage contacts.


AutoResponder
An autoresponder is an email that is automatically sent to anyone who sends mail to a particular mailbox.  For example, you could configure your 'Sales' mailbox so that when ever someone sends an email to 'sales@yourdomain.com,' they will automatically get an email back.  Maybe something along the lines of:

Hello! Thank you for visiting mydomain.com!
Your order/inquiry will be processed as soon as possible.
Sincerely, 
mydomain.com, Sales Dept.

To set up an autoresponder, click on the 'Options and Styles' pull-down menu.
Then click 'AutoResponder'.  A menu will appear that allows you to set up an autoresponder.


Changing your Password
To change the password for the mailbox you're currently logged into, click the 'Options and Styles' pull-down menu.
Then click 'Password'.  A menu will appear that allows you to change your password.


Styles (Skins)
Webmail is "skin-able"!  This means, you can change the style, or design of your WebMail Interface.
To choose a Style, click on the 'Options and Styles' pull-down menu.  
From the 'Choose from 24 Styles' menu heading, click on the style you want.  Styles, include:

  • Default
  • Bricks
  • Grassy Hillside
  • Hunter Green
  • Garden Rose
  • A total of 24 Styles to choose from

This sometimes happens.  Close Internet Explorer, and launch it again.
